A shirt sample brings fit, measurements, fabric, collar, cuff, button and stitching decisions together on one garment. The approved sample is a key production reference for bulk manufacturing.
Agree the assessment criteria in advance
Feedback should include measurable and actionable decisions rather than general expressions of appreciation.

Manage changes from a single record
Scattered feedback from several people can lengthen the sampling process. Appointing one decision-maker on the brand side and consolidating all changes into a single list creates a more structured approval process.
Confirm bulk-production approval in writing
Approval must clearly identify the sample, size chart, fabric and trims that govern production. Any post-approval change must be assessed separately for cost and schedule impact.
Confirm the sample schedule start date in writing
Allow approximately 3–7 business days for a shirt fit/buying sample and 2–4 weeks for sales samples. These estimates depend on complete technical details and available materials. Revisions, product complexity and sourcing may affect timing. The sales sample schedule is separate from bulk production.
A sample approval record should include the style code, sample version, measurement method, requested changes and decision date. Link a collar change to its measurements, interlining and pattern revision, rather than leaving it as a note on a photograph alone.
Evaluate the sample systematically
Assessing a sample only on a hanger or from one photograph is not enough. It should be tried on the intended size, with front, back and side views and ease of movement checked together.
Points such as collar opening, shoulder balance, sleeve length, cuff circumference and body comfort should be compared with the size chart.

Record the impact of the revision
A change may affect not only the appearance, but also the fit, fabric consumption, workmanship or delivery schedule. The revision list should include the description of the change, its responsible person, date, and the sample version in which it will be applied.
Final approval should not rely on a verbal statement. The production sample, size chart, fabric and trims must be verified against the same record.
